Position Purpose
The Lead Medical Staff Services Coordinator acts as a resource for the Medical Staffs of Renown Regional and Renown South Meadows Medical Centers, Renown Rehabilitation Hospital and Renown Surgical Arts. This position provides support services for the Renown Medical Staff organizations to include work as a designee of the Manager or Supervisor Medical Staff Services in his/her absence; and the Hospital and Medical Staff who by definition of the standards are responsible for the oversight of the quality of care, treatment, and services delivered by practitioners. In all instances credentialing is a requirement of each of the positions for those physicians and allied health professionals that are privileged through the medical staff process. The Lead Medical Staff Services Coordinator will be responsible for the generation and updating of forms used for the credentialing and privileging of these individuals, and well as documentation of the activities of Medical Staff Department and Committees with adherence to Roberts Rules or Order. The information they access is sensitive and extremely confidential. This information must be handled discretely, and patient safety is paramount.

Nature and Scope
Job Duties:
• Responsibility for maintenance of the medical staff meetings during every calendar month and annually, annual review of all medical staff policies and procedures, rules and regulations, and guidelines.
Based upon role assignments, the following job duties will apply:
• Maintains all Medical Staff credentialing files and Credentialing Operations
• Participates and supports the department and committee meetings of the Medical Staff in carrying out their duties as defined by CMS, The Joint Commission, NCQA, and Medical Staff Bylaws, Rules and Regulations.
• Works regularly with the leaders of the Medical Staff, Administration, Department Chairs, Section Chairs and Elected Medical Staff leadership to review credentialing documents, privileging forms, coordinate meetings and assist in resolving any other issues relative to the medical staff’s position on a matter.
• Works regularly with Renown Medical Staff leadership to review credentialing processes and workflows, communication on behalf of the department, review department and committee activities and resolve any other issues relative to administration’s position on a matter.
• Work closely with Medical Staff leaders, Administration, Department Chairs, Section Chairs, and elected Medical Staff leadership to review credentialing documents, privileging forms, and assist in resolving issues
• Assures coverage of medical staff meetings and provides guidance, resources and support to Department and Committee Chairman, members and personnel.
• Maintains documentation in an electronic fashion of all minutes for future reference for accreditation and surveys, i.e. Joint Commission, CMS, etc.
• Assures that follow-up action from meetings is done timely and applied as indicated and documented in the medical staff meeting minutes, to ensure the medical staff remains compliant with all accrediting bodies.
• Assists with maintenance of current rosters of all medical staff members on each of the facilities Medical Staffs and notifies all in-house departments of any changes and updates to these rosters.
• Assists and trains staff in maintenance of electronic website of privileges held by all credentialed staff, lists of all Departments, and Committees as well as the membership of all.
• Assists in training staff either new to the department or to new updates and enhancements in the credentialing software.
• Must have working knowledge of the current CMS Conditions of Participation, standards of the Joint Commission and the statutes and policies and procedures of the State of Nevada Medical Licensing Boards, particularly in reference to accreditation, peer review and the laws affecting assigned job duties and positions.
• Coordinate with the Director of Medical Staff Services and Supervisor in preparation for Joint Commission, CMS, NCQA, and other regulatory surveys.
• Assists in the development of Medical Staff Privileges and criteria for hospital privileges.
• Assists as applicable and under the direction of Department Leadership in processes related to Proctoring, OPPE and FPPE on behalf of the Medical Staff.
• Actively supports and incorporates Renown mission into daily activities and understands the impact of patient care in their work environment.
• Maintains organization and efficiency to handle multiple responsibilities and quickly shifting priorities in an environment of constant interruptions.
• Provide clear and accurate information in absence of written policies and procedures paying close attention to detail to process medical staff issues while performing duties under the direction of the Director.

Minimum Qualifications

Education: | Must have working-level knowledge of the English language, including reading, writing, and speaking English. High School Diploma required. AA or BA/BS preferred. |
Experience: | Minimum 3-4 years of progressively responsible experience in medical staff services required. In lieu of direct medical staff services experience, 7+ years of progressive administrative or office management experience. Experience working with senior leadership, executive management, and cross-functional teams is required. Comprehensive knowledge of medical terminology required; familiarity with regulatory/accreditation standards (e.g., Joint Commission, NCQA, CMS) strongly preferred. |

Certification(s): | CPCS and/or CPMSM certification required within 12 months of hire. |
Computer / Typing: | Must be proficient with Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Word and have the ability to use the computer to complete online learning requirements for job-specific competencies and other necessary information. |
